One system to run renewals on.
Health scoring, a Renewal Room, evidence-cited AI briefs, Salesforce sync, CSV import and shareable reports. Six parts of one system, not six tools.
01 · Health scoring
Health you can argue with.
Five dimensions, each with the signals behind it. When data is missing, the dimension says so instead of pretending.
- Five dimensions: Commercial, Adoption, Technical, Relationship and Outcome.
- Clear bands: Healthy, Watch, At risk and Critical, plus Unknown when there isn’t enough data.
- Deterministic and versioned. The same inputs give the same score, and history is kept so you can see why an account was red on any date.
- AI never computes a score. It only explains one.
02 · Renewal Room
The forecast call, already prepared.
Every renewal in the next 120 days, by stage, with a likelihood range and the confidence behind it.
- Renewals grouped by stage, so you see what is moving and what is stuck.
- A likelihood with a range, not a single falsely precise number.
- Risks and data gaps listed next to each renewal.
- Expansion signals sit next to risk, so growth isn’t an afterthought.
- RiskChampion left; no new sponsor yet
- GapOutcome data not connected
- NextExec sponsor call this week
03 · AI briefs
Briefs that show their sources.
Account, renewal and portfolio briefs. Every claim cites evidence and is labelled as a fact or a hypothesis.
- Every sentence links to the signal it came from.
- Facts and hypotheses are labelled, so nobody mistakes a guess for data.
- Off by default. For pilot data, AI stays off until zero data retention is confirmed in writing.
- Customer text is treated as untrusted input, never as instructions.
FactActive users fell from 62 to 43 in three weeks E1, and the Ops lead who championed the rollout is marked as left E2.
FactTwo P1 tickets were opened on route export; both closed inside SLA E3.
HypothesisThe usage drop follows the champion leaving rather than the product issue, since ticket volume was normal before 9 Oct.
04 · Salesforce sync
Your CRM, read and never written to.
A read-only connection to the Salesforce Account object. Your admin confirms the field mapping before anything is scored.
- Read-only OAuth connection, scoped to Accounts.
- Your admin reviews and confirms the field mapping.
- Free-text fields are excluded at ingestion.
- Tellstay never writes back to Salesforce.
| Salesforce field | Tellstay field | Type | Status |
|---|---|---|---|
Account.Name | Account name | Text | Confirmed |
Account.Id | External ID | ID | Confirmed |
ARR__c | ARR | Currency | Confirmed |
Renewal_Date__c | Renewal date | Date | Confirmed |
Account.OwnerId | CSM | Lookup | Review |
Description | — | Free text | Excluded |
Free-text fields are excluded at ingestion. Nothing is written back to Salesforce.
05 · CSV import
No CRM access? Start with a file.
Load accounts from a CSV. A dry run checks every row before anything is written, and points to the exact line to fix.
- A template with the columns Tellstay expects.
- A dry run that writes nothing and lists errors by line and column.
- Missing values stay Unknown. They are never filled with a guess.
- The same scoring, isolation and audit trail as synced accounts.
| Line | Column | Value | Problem |
|---|---|---|---|
| 42 | renewal_date | 31/02/2027 | Not a real date |
| 77 | arr | TBD | Not a number |
| 118 | external_id | (blank) | Required |
Rows you leave without a renewal date import as Unknown, not as a guess.
